Position Summary:

The Administrative Assistant position within their program area of Continuing Education is responsible for supporting the day to day activities of the department through administrative support of teachers, advising and assisting students, supporting established systems for registration, maintaining course documentation, ordering textbook and office materials, maintaining certificate requirements, submission of certificate requests, and entering student grades and maintaining course outlines in a database.


Key responsibilities:


  • Responds to telephone, in person and e-mail enquiries from students, teachers and others seeking information or guidance on CE course/certificate offerings.
  • Maintains current and historical course outlines/manuals ensuring that the correct ones are distributed for each class.
  • Orders course materials and ensures timely delivery to class/bookstore or to instructors via email.
  • Contacts students promptly when classes are cancelled or delayed.
  • Follows-up with instructors to ensure grades are received in a timely manner and enters grades in database.
  • Processes amended grades as required.
  • Maintains contact with full-time program to ensure equivalency with full-time courses.
  • Performs registration procedures for students wishing to transfer, drop/add, withdraw or receive refunds from courses in Banner.
  • Maintains current and historical certificate requirements and submits certificate requests to Registrar’s Office after verifying that all requirements had been met by the student.
  • Contacts publisher reps to order instructor copies of textbooks and distributes these to instructors.
  • Orders course materials in a timely manner, ensuring the most recent edition is being used and this information is reflected in the course outlines and checks the bookstore to make sure the book has been received.
  • Prepares class list and ensures an up-to-date copy of the course outline is available for the instructor for the first scheduled class.
  • Responds to requests from teachers for materials, photocopying or other needs.
  • Identifies course needs and suggests program improvements and/or changes to published information from feedback gathered from students.
  • Other duties as assigned.

Educational and Experience Requirements:


  • Three-year diploma/degree from a recognized post-secondary institution in Office Administration, Business Administration.
  • Minimum three years’ experience working in an office or educational environment. Experience gained as a team player in an office environment using a variety of computer software packages such as MS Office and Student Information System databases (SIS).


Skills and Attributes:


  • Excellent communication skills, both oral and written.
  • Demonstrated initiative and ability to work independently with minimal supervision.
  • Ability to establish priorities and make decisions within prescribed boundaries.
  • Strong interpersonal, customer service and organizational skills to liaise with people at all levels from executives in technology companies to entry-level students.
  • Ability to manage numerous complex and demanding tasks and to meet strict deadlines.
  • Adaptability to working in a technical environment in which technical terminology is frequently used.
  • Discretion, sound judgement and a commitment to preserving strict confidentiality.
  • Demonstrated commitment in delivering excellent service in supporting the success of students and College employees.
  • Flexibility in adapting to change and in participating in consultative decision-making processes.

Interview process may consist of a practical skills component.
